About the Role
We are seeking a highly organized and detail-oriented Planning Coordinator to support the effective planning and execution of audits within our certification services team. This role is critical to ensuring audits are scheduled and executed efficiently, with full alignment to internal procedures and external customer expectations.
Key Responsibilities
- Audit Planning & Scheduling: Plan and coordinate audits with customers to ensure audit activities align with the approved business portfolio and timelines.
- Audit Team Allocation: Assign auditors and subcontractors based on competency, availability, and certification requirements in compliance with BV certification procedures.
- Stakeholder Communication: Act as the primary point of contact for auditors (both staff and subcontractors), ensuring they receive all necessary logistical and preparatory information ahead of each audit.
- Time Sheet & Subcontractor Expense Management: Monitor auditor/ subcontractors timesheets and registration of expenses in accordance with BV cut-off dates.
- Technical Coordination: Liaise with the technical department to monitor the timely processing of audit related technical matters, including approval steps required for certificate issuance.
- Administrative Support: Perform general office and administrative tasks as required to support daily operations.
Qualifications & Skills
- Minimum of a bachelors degree in business administration, Project Management, or a related field.
- Experience in audit planning or coordination (preferably within a certification body or auditing firm).
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Familiarity with ISO management systems (e.g., ISO 9001, 14001, 45001) is an advantage.
